Payment records guide
How to request payment proof from a client
Send the client an invoice with clear payment instructions, then ask them to upload the transfer receipt or other evidence through the secure deal link.
Payment proof helps a provider review what a client says they paid. It is evidence for confirmation, not a replacement for checking the provider’s own account or bank records.
Make the invoice clear first
The client should see the correct business, project, amount, currency, payment stage, and instructions before making a payment. Clear invoices reduce unnecessary back-and-forth and make uploaded proof easier to review.
For milestones, show the stage name and calculated amount so the client can tell which part of the project the payment relates to.
Ask the client to upload evidence
The client can use the secure invoice or portal link to upload a transfer receipt, bank confirmation, or other payment document. They do not need to create a Paymarka workspace account.
The provider should still verify the payment through the relevant bank or payment account before confirming it. Paymarka records the submitted evidence and the provider’s decision.
Keep the receipt and audit history together
After confirmation, the deal record should show the payment status and receipt. The verification link and audit information make the record easier to check later.
If the client pays too much or too little, the provider decides how to handle the difference. Paymarka should not make that commercial decision on the provider’s behalf.
Put this into practice with Paymarka
Start with the commercial basics and keep the proposal, contract, invoice, and payment record connected.
Frequently asked questions
What can a client upload as payment proof?
A client can upload a transfer receipt, bank confirmation, or another document that helps the provider identify the payment.
Does uploading proof confirm the payment automatically?
No. The provider should review the proof and confirm the payment after checking the relevant account or bank records.
What happens if the client overpays?
The provider decides how to handle an overpayment or underpayment. Paymarka records the submitted proof and confirmation status but does not decide the commercial resolution.
