Invoicing guide
How milestone invoicing works
Milestone invoicing divides a project into agreed payment stages. Each stage has a percentage of the total value, a delivery date, and a payment due date when its invoice is sent.
Separating delivery timing from payment timing makes it clearer what work is expected and when the related payment is requested.
Start with the total project value
First agree the full value of the work. Then allocate that value across milestones using percentages rather than manually typing separate amounts.
All milestone percentages should add up to exactly 100 percent. The amount for each milestone is calculated from the total project value, which reduces arithmetic mistakes and confusion.
Use two dates for two different events
The work delivery date answers: when should this stage be delivered? It can be an expected date or a date calculated from the project start and delivery duration.
The payment due date answers: when should the client pay the invoice? In Paymarka, the payment due date is set when the milestone invoice is sent, so the request is tied to the actual invoice event.
Keep the stages understandable
Give each milestone a clear label such as discovery, design approval, foundation completion, testing, or final handover. Describe what completion means so both sides know what the stage represents.
If a delivery date is not known yet, use To be determined and update it when the project information becomes clear. Do not use a vague date to imply a commitment that has not been agreed.
Put this into practice with Paymarka
Start with the commercial basics and keep the proposal, contract, invoice, and payment record connected.
Frequently asked questions
Can milestone percentages exceed 100 percent?
No. The milestone allocation must not exceed 100 percent and should total exactly 100 percent before the payment structure is used.
Is the milestone delivery date the same as the payment due date?
No. Delivery is about when the work stage is expected. Payment due is about when the client should pay the invoice.
Does Paymarka receive milestone payments?
No. Paymarka does not receive or process client transaction funds. The provider receives payment using the instructions on the invoice.
